The Role of Policy Management Senior Officer is to Organize the daily tracker, sort shipments, and process all the required documentation. Complete all relevant daily, weekly, monthly and yearly reporting for productivity and be aware of all team tasks, reports & deadlines.

Key Responsibilities:
  • Organize and coordinate daily tracker workload in the morning. Process and print documentation requests from CSO’s and the system in line with department targets. Prepare packs according to type, special and tailored requirements
  • Couriers & Post – All outgoing mail is sent via DHL Express or DHL Global Mail. Sort and prepare shipments according to SLA
  • Quality Control - Ensure quality check is carried out on prepared packs in line with department targets
  • Weekly shipments – Ensure weekly shipments are processed in line with our group agreements and department targets
  • Cost Containment: Always be budget conscious and support team with any cost saving ideas you may have or any changes to the team that could make a difference, support your team and the post room of any changes that have been rolled out during this project
  • Reports & Trackers – Complete all relevant daily, weekly, monthly and yearly reporting for Productivity, EC, Stock Control, Error and Quality accurately and on time. Be aware of all team tasks, reports & deadlines
  • Build positive and professional working relationships with internal clients (e.g. Credit Control, Helpline, Renewals Team, Sales Team, Client Relations)
  • Assist other teams with administrative tasks
  • Flexibility is required- You may be required to support teams within the Policy management department and work on email processing
  • Support your Team leader with the day to day management of workload ensuring that tasks are completed within SLA
  • Log Customer feedback in Salesforce upon receipt of the email in line with the Client Experience procedures: Identify, Investigate, Log, Resolve/ Follow up
  • Support your Team Leader with escalated queries & keep all parties informed
Key Requirements:
  • Strong knowledge of Microsoft Office (Word & Excel)
  • Experience in administration or mailroom
  • Keyboard skills with experience of Microsoft office, Excel and other standard software
  • Flexible to work within our rotating shift patterns
  • Fluency in English
  • Second European language is essential
  • High attention to detail
  • Time Management
  • Strong communication (verbal & written)
  • Team Player
  • Flexible and display ability to prioritise workload
  • Proactive and ability to use initiative, solution driven
  • Ability to work well under pressure
  • Shows leadership skills & ability to delegate
